This agreement outlines the terms and conditions for the display and representation of your artwork. By agreeing to these terms, you join us in our mission to elevate and celebrate representational art.
The Galleries at Heartland Art Club
GROUP of 8 SHOW
Welcome to Heartland Art Club’s Members’ Gallery Room. The Members’ Gallery Room caters exclusively to members of Heartland Art Club with the specific purpose of providing them a chance to participate in one of four annual, eight-person, three-month-long shows known as the GROUP of 8 SHOW. This unique opportunity, which few (if any) other art associations offer their membership is yet another reason for being or becoming part of the Heartland Art Club organization.
The Basics of Who, How, When, What
WHO: This opportunity is exclusively available to Heartland Art Club Members, no exceptions. If you would like to join Heartland Art Club please sign up here.
HOW: It’s a first come first serve basis (once per 12 month cycle). To apply for the show fill out and submit the form below with the following month show’s listed in preference: January, April, July, October. Once availability has been filled by eight applicants, those applicants will be notified of their show date and their next steps.
WHEN: The Members’ Gallery Room will change out every 3 months with the first show beginning Wednesday, January 8, 2025.

Wall Space
Each artist will receive 5 to 6.5 feet of wall space, with a height of 8 feet. The gallery staff reserves the right to assign spaces and determine the arrangement of works. The maximum number of pieces per artist is five, based on the following size guidelines (including frames):
- One extra-large piece (48×38 to 84×60)
- Two large pieces (32×26 to 38×38)
- Three medium pieces (24×20 to 20×32)
- Four to five small pieces (12×10 to 19×22)
The gallery will hang the show, and substitutions are not allowed once the work is installed, except in the case of sales.

Exhibit Details (Please read carefully)
- Heartland Art Club reserves the right to disqualify works that do not conform to the submission guidelines, works considered offensive by the gallery, or for any other reason.
- Heartland Art Club cannot be responsible for typos in your submission or for incomplete information.
Artwork Requirements
Two-dimensional or three-dimensional REPRESENTATIONAL works only, including photography.
Any artistic style or medium
Framing Requirements
Professional framing to gallery standards. Please clean glass, check corners, and look for other damage to matting, framing, and glass.
Gallery wrapped canvases without frames are acceptable if it has finished sides and wire hangers. Gallery wrapped canvases less than 1.5” in depth not accepted.
Only wire hangers, no sawtooth hangers
Artwork will be hung by gallery volunteers
Delivery Requirements
Artwork may be shipped or hand delivered to Heartland Art Club. If shipping, you must include a pre-printed paid return label. Make sure to include your Inventory Form to be taped to back of artwork.

Artwork Drop-Off and Pick-Up
- Drop-Off Dates: The week before your scheduled show, Wednesday – Saturday from 12:30 – 5 p.m.
- Pick-Up Dates: The week after your show ends, Wednesday – Saturday from 12:30 – 5 p.m.
Payment for Sold Works
The gallery will remit payment for any sold artwork within 30-45 days of the show’s conclusion. The gallery’s member commission rate is 25%, and there is an additional 3% fee for credit/debit card transactions.
Use of Photos and Artist Info
Heartland Art Club may use photos of your artwork and information for promotional purposes on its website, social media, and in print materials.
Insurance
The gallery provides general liability insurance but recommends that artists insure their own works, including during shipping to and from the gallery.
Shipping
Shipping of works to the gallery and return shipping of unsold works is the responsibility of the artist. Airfloat™ or similar boxes are required to minimize damage to artwork in transit. Packing and shipping of sold works to the purchaser is the Gallery’s responsibility. Packing and shipping for return of artwork to the artist is the artist’s responsibility. Estimates for packing and shipping can be sent to the artist in advance of shipping.
